Online Privacy

At Mint Homes we respect your privacy and do not share any identifiable information regarding visitors to our website with any third party.

When someone visits www.mint-homes.co.uk we use Google Analytics to collect information which include details of visitor behaviour patterns. This enables us to find out the number of visitors to the various parts of our site. The information is processed in a way that does not identify anyone. We do not make any attempt to find out the identities of those visiting our website.

General Privacy

Any personal information you give to Mint Homes will be securely held in accordance with General Data Protection Regulation (GDPR) guidelines and will not be used in a way to which you have not consented. We explicitly DO NOT store credit card details.

Storage of Data

Mint Homes staff are trained to be compliant with all GDPR regulations and we have strict internal procedures to cover the storage, access and disclosure of your information. We will only retain it for as long is necessary for the purpose it was taken for.

Personal information will be held on computers in our office and in the cloud which are password protected. Any mobile devices with email or cloud access to potential personal data, software system to store data and use for the purpose of marketing and management, are also password protected.

Hard copy information held to satisfy the 'Right to Rent' regulations or Anti Money Laundering is kept in locked cabinets within the office, and in order to comply with those regulations relevant information will be stored as described above for 5 years (Right to Rent) and 7 years (Anti Money Laundering), even if we are asked to remove your contact details from our computer and marketing systems under a right to erasure (right to be forgotten) request.

Tenancy Agreement Privacy

Personal information in a tenancy agreement and that provided during the application process will be used during and after the tenancy for a number of purposes including:

  • management of the tenancy and fulfilling this contract
  • notifying local authorities or utility companies about the tenancy
  • debt recovery or to rectify a breach of a term of this agreement
  • where legally required to be shared

Your information is held by us on behalf of your landlord, which we will share with them before, during or after the tenancy.

During the tenancy

We will use your information to manage the tenancy including for example to contact you about repairs, rent collection and general clerical/management duties and your information may be shared with third party service providers including software services for the purposes of management of the tenancy.

Your information will be used for fulfilling the contract for example by sharing with a contractor for the purpose of carrying out a repair or maintenance inspection.

Your information may be shared with a local authority or utility provider for the purpose of notifying about this tenancy.

Your information may be shared with other landlords or agents for the purpose of providing a reference or conduct of the tenancy.

Your information may be shared with third party providers including debt collection or tracing services to pursue a debt or if reasonably necessary to rectify any breach of the tenancy.

Otherwise, your information will not be shared with other organisations unless legally required to do so, to prevent fraud or a crime or if we have your consent.

After you have left the property

When you have left the property, your information may be shared with a local authority or utility company for the purpose of notifying about the end of the tenancy.

Your information may be shared with other landlords, agents, referencing services, credit reference bureaus etc. to provide a reference or details about the conduct of the tenancy.

Your information may be shared with third party providers including debt collection or tracing services to pursue a debt or if reasonably necessary to rectify any breach of the tenancy.

We will retain your information beyond the tenancy for as long as necessary or legally required for potential HMRC audits, potential local authority disputes (for example council tax) and Immigration Act (Right to Rent) investigations.

Otherwise, your information will not be shared with other organisations unless legally required to do so, to prevent fraud or a crime or if we have your consent.

You have the right to request a copy of the information we hold about you and to change any details. If you wish to do this, please contact us via email and ensure that your web browser displays a padlock or other symbol top indicate the site is secure.
